Privacy Policy

This Privacy Policy explains the categories of information Showstock collects, why we use it, when it is disclosed, how long it is retained, and the choices available to operation owners and users.

Information you provide

We collect account and contact information such as name, email address, operation name, password credentials in protected form, optional authenticator setup information and recovery-code hashes, assigned role, team-user information, subscription selection, legal and billing consent records, support requests, calendar settings, and notification preferences. We store content submitted to the operation, including animal identities, pedigrees, breeding and litter information, ear notches, health and medication records, weights, feeding and expense records, show schedules and results, notes, photos, videos, registration papers, DNA certificates, and other documents. When you choose to save a map pin, we also store the location name, address, and coordinates you provide or permit your device to supply. Showstock does not continuously track your location.

Some submitted content may concern youth exhibitors, veterinarians, breeders, buyers, sellers, judges, team members, or other people. The operation owner is responsible for having authority to provide that information and for limiting collection to what the operation reasonably needs.

Information collected automatically

When you use Showstock, we may collect technical and security information such as IP address, browser and device type, requested pages, timestamps, session identifiers, sign-in activity, usage events, error information, and rate-limit or fraud-prevention records. We use necessary cookies or similar storage to keep users signed in, protect sessions, remember essential preferences, and operate the Service. Showstock does not currently use third-party targeted-advertising cookies.

Payments and subscription records

Stripe processes subscription checkout, payment methods, invoices, fraud screening, renewals, and cancellations. Showstock does not store complete payment-card numbers. We receive limited billing information from Stripe, such as customer and subscription identifiers, selected price, subscription status, and renewal or cancellation dates. Stripe handles information under its own privacy policy.

How we use information

We use information to provide and secure accounts; isolate operation data; store and display livestock records; calculate requested planning estimates; generate reports and private calendar feeds; process and administer subscriptions; respond to support and privacy requests; detect abuse and technical problems; improve reliability and usability; enforce our Terms; preserve evidence of consent; and comply with legal, tax, accounting, or regulatory duties.

Automated processing and AI

Showstock currently uses transparent formulas and customer-directed templates rather than a generative-AI model. Automated planners process the livestock dates, pedigree relationships, genotype assumptions, weights, costs, results, and text a customer chooses to enter to produce estimates, totals, charts, timelines, and editable drafts. Showstock does not use these tools for decisions about a person’s legal rights, credit, insurance, employment, education admission, or government benefits.

Showstock does not use uploaded photos, videos, or audio for facial recognition, voiceprint identification, or other biometric identification, and does not use customer content to train an external AI model. Review AI & Safety for limitations, safeguards, and reporting instructions.

How information is disclosed

We do not sell personal information and do not use it for third-party targeted advertising. We may disclose information to vendors that process it for us, including website hosting, database and file storage, security, payment processing, and calendar providers you choose to connect. We may also disclose information when required by valid legal process; to investigate fraud, abuse, security incidents, or threats; to protect Showstock, users, animals, or others; with your direction or consent; or as part of a merger, financing, reorganization, or sale, subject to appropriate protections.

Operation owners, team users, and shared records

Showstock is organized around shared operations. The operation owner controls the plan and may add, edit, suspend, or remove team users. Authorized users may view or change shared records according to their role and the features available in the Service. Owners should invite only trusted people, review access regularly, and remove anyone who no longer needs access. Content downloaded, exported, or independently retained by another authorized user may remain outside Showstock after access is removed.

Photos, videos, documents, and minors

Uploaded media and documents are private to authorized operation users unless an owner or user chooses to download or share them elsewhere. Do not upload images, names, contact information, schedules, registration documents, health information, or other personal information about a minor unless a parent, guardian, or authorized adult has approved the collection and use. Avoid including unnecessary addresses, school information, precise locations, or other sensitive details in animal or show records.

Children’s privacy

Showstock is an adult-managed livestock-operation service. Before requesting registration details, we ask for the proposed owner’s birth month and year solely to determine whether the person is at least 18; we do not save that age-screen response. Children under 13 may not receive a direct login. A team user age 13 through 17 may receive a login only with parent or legal guardian authorization and adult supervision. An adult operation owner may maintain livestock and show records involving a child when the adult has appropriate authority.

If we learn that personal information was collected directly from a child under 13 through an unauthorized login, we may suspend the login, delete the information, or seek legally sufficient parental authorization. Parents or guardians may contact us to request access, correction, or deletion. We do not use children’s personal information for targeted advertising or sell it.

Student, FFA, 4-H, and scholarship information

Showstock is not a school information system. Do not submit grades, membership information, leadership roles, certifications, applications, education records, or other student information unless you are the student, the student’s parent or guardian, or otherwise authorized. Avoid Social Security numbers, full student identification numbers, protected school records, and unrelated sensitive information. AET-ready exports are user-directed files for review and manual transfer; Showstock does not transmit records directly to AET unless that capability is expressly added and authorized.

Private calendar feeds

If enabled, Showstock creates a tokenized private calendar link containing selected reminder titles, dates, times, and animal or operation references. Anyone with that link may be able to view those calendar details. Keep it private, disable it when no longer needed, and generate a new link if it may have been exposed. Calendar providers may store imported events under their own policies.

Retention and deletion

We retain information while an account is active and as reasonably necessary to provide the Service. Operation owners can delete individual records and may delete an operation through available controls after separately canceling any active subscription. Deletion removes active operation data, subject to limited time in backups and retention reasonably required for fraud prevention, security, dispute resolution, tax, accounting, legal compliance, and proof of transactions or consent. We aim not to keep personal information longer than reasonably necessary for the stated purpose.

Security

We use administrative and technical safeguards designed to protect information, including authenticated access, optional authenticator-app multi-factor authentication, encrypted authenticator secrets, one-time recovery codes stored only as hashes, operation-level data separation, protected password storage, session controls, input validation, rate limiting, restricted uploads, and encrypted network transport. No online system is completely secure. Use a unique password, protect devices, recovery codes, and calendar links, review team access, download independent copies of important records regularly, and notify us promptly of suspected unauthorized use.

Security incidents and Texas notices

Report suspected unauthorized access, disclosure, account takeover, or loss of sensitive information through the private support request form by choosing Security or data incident. Showstock will investigate reported incidents, take reasonable containment and recovery steps, preserve appropriate records, and provide notices to affected individuals and government authorities when required by applicable law. Do not include passwords, complete payment-card numbers, or unnecessary sensitive information in the report.

Your privacy choices and requests

Depending on applicable law, you may have rights to confirm whether we process your personal information; access or obtain a portable copy; correct inaccuracies; delete information; and appeal a decision on a privacy request. Showstock does not sell personal information or process it for targeted advertising, so no sale or targeted-advertising opt-out is presently necessary. You may also update account information, manage users, export reports, delete records, disable a calendar feed, cancel billing, or delete an operation using available controls.

Submit a privacy request through the private support request form and choose Privacy — access or export, Privacy — correction, or Privacy — deletion. Choose Privacy — appeal to appeal a decision. Describe the request and the operation email involved. We may verify identity and authority before responding. Authorized agents must provide proof of authorization. We aim to respond without undue delay and within 45 days, or the period required by applicable law, and will explain any permitted extension. We will provide appeal instructions when a request is denied and will not discriminate against you for exercising applicable privacy rights. Texas residents may also contact the Texas Attorney General after completing an applicable appeal process.

United States service

Showstock is operated from the United States. If you access it from another country, information may be processed in the United States, where privacy laws may differ from those in your location. Do not use the Service where doing so would violate applicable law.

Policy changes

We may update this policy as Showstock changes. The effective date above will be revised when material updates are published.
